General Procedures for Tutors 

1.    Wintrode Tutoring Program: Tutors will check TutorTrac each night before their scheduled tutoring hours to determine whether or not they have appointments for the next day. If you don’t have any students signed up to meet with you, you do not need to come into the office; however, if you have students signed up with you, or if you cannot check your account and aren’t sure about whether or not you have students scheduled, you MUST be present for scheduled appointments! 

2.    Tutors will login to TutorTrac at the beginning of all work hours and will logout at the end of all work hours.  

3.    If a tutor must cancel his/her tutoring session, he/she will notify the Tutoring Secretary (preferably 24 hours in advance). If tutors have advance knowledge of an extended absence they should notify the Tutoring Secretary as soon as they learn of the absence. You should also contact the scheduled student(s) and ask them to reschedule.  

4.    Tutors will review tutoring policies with students and will implement the tutoring agreement during their first tutoring session together. 

5.    Tutors will check student attendance forms every two weeks. 

6.    Tutors will ask students to complete evaluation forms as scheduled. To ensure confidentiality, these evaluation forms will be turned in to a Wintrode Tutoring Program staff member or the locked ballot box. Tutors should never touch or see student evaluations while students are filling them out or after completion. 

7.    After each session, the tutor should inquire or recommend if the student needs another session. The student will then schedule their next appointment using TutorTrac. 

8.    Tutors will notify the tutoring staff or complete Tutoring Alert Forms if a student is not meeting his/her responsibilities as outlined in the Tutoring Policies. 

9.    Tutors will complete evaluations of the tutoring process, locations, and training information at midterm. Tutors will also complete a course evaluation at the end of the semester. 

10. Tutors must enter their hours on SNAP at the conclusion of each day, and will submit their hours by 5:00 p.m. on the 19th of each month. Tutors will receive payment on the last day of the month.     

10. Tutors will participate in regularly scheduled training sessions with the Tutoring Coordinator. Tutors are welcome to communicate with the Coordinator at any time about tutoring sessions and strategies to address individual student needs.
